Enabling.IT GMail Migration


Overview


As a company using an existing Microsoft Exchange Server, Enabling.IT will work with your IT staff (in-house or outsorced) to enable a stress-free migration to Google Apps for Business and allow Google to handle you@yourdomain.co.uk emails. Google Apps for Business works out at approximately £33 per user, per year. The current mail quota is 25GB per user!

What we would require

  1. Access to edit the MX records through your domain registrant control panel

  2. Exchange server and Administrator login details to migrate current emails

  3. You would have to purchase the required number of user accounts from Google Apps. https://www.google.com/a/cpanel/premier/new

  4. We would need login details for all existing Exchange accounts, as well as the Google login

  5. We would need a list of the accounts to be created on Google (if they have not already done this when setting up the Google Apps account)

  6. Once the migration is completed, it would be your responsibility to terminate the existing Microsoft Exchange email setup with the current provider.

Processes Involved

Your IT team will need to set up the Google Apps for Business account if you / your company are unable to setup up this, Enabling.IT will do this on your behalf. what we will need from you is a complete list of all users and email accounts.

Once the Google Apps for Business has been set up, the details for the Google Apps for Business and Exchange will need to be given to Enabling.IT, who will then add the users specified (if required) and migrate their existing emails and calendars to Google Apps for Business.

Verification on the Google Apps for Business account settings will go ahead and - once completed - your mail exchange (MX) records will be changed to the Google Mail servers. Google Apps for Business will then be set up to take control of the mail for the domain.

Once Google Apps for Business has been verified to work correctly as per above, it is the responsibility of Sugatsune to terminate their existing Microsoft Exchange contract.

Restrictions

The time taken to migrate the accounts depends on the current size of the Exchange accounts, as well as the speed of the internet connection on the Exchange server.

Whilst the mail exchange records are being transferred, there may be some downtime on your emails whilst it is taking place. For this reason, a Friday afternoon is perhaps the best time for this to take place as it allows the weekend for DNS servers across the internet to update their records with the changes ready in time for Monday.
